Partybooth 360 – Terms of Hire
When hiring The 360 Photobooth (and accessories) from us, you do so in accordance with these outlined terms & conditions. By paying all, or part, of your invoice or fee, you are entering into a Hire Agreement and accepting full responsibility that the terms and conditions will be strictly followed.
Please read the following:
1. Definitions within these Terms & Conditions
“Customer”, “you” and “your” is the person(s) who booked and paid for the Photobooth, and/or any associated accessories for your party or event.
“Guest(s)”, “Adult(s)”, “Person(s)”, “People”, “Attendees”, “Child”, “Children” & “Guardian” are the personnel attending your event and using the Photobooth.
“We”, “team” and “us” refers to Partybooth 360 (The company) who are providing the service to the customer and any member of staff.
“Event” and “Venue” are the physical location where the service will take place.
“Photobooth”, “360”, “Photobooth 360”, “Video Booth”, “Equipment” and “Item” are what you will be hiring for the outlined time which is solely owned by Partybooth 360.
2. Booking & Payment
Booking enquiries should be made via our website www.partybooth360.co.uk, alternatively through WhatsApp, Instagram, text message and email.
If you wish to proceed with your quote/booking, please respond to our email or message and we will issue your invoice (if required).
A £50 non-refundable deposit must be made in order to secure your event date via the available payment methods as advised. If there are less than 14 days before your event, then payment must be paid in full.
We require the remaining balance of your invoice a minimum of 14 days before your event date (unless otherwise agreed to pay cash on the day of the event); this must be paid via the available payment methods as advised (bank transfer or card). We must receive full payment prior to starting the event.
You will receive a payment confirmation after you have paid and an email will be sent to the email address provided, please check your email inbox to ensure this has been received.
Please check all your details at the time of booking to ensure everything is correct. If something is incorrect please notify us immediately via email: hello@partybooth360.co.uk.
3. Access, space & power requirements
The Customer must arrange for an appropriate clear space to be made available for the Photobooth (and all requested accessories) at the event venue.
Please see the requirements below:
- A space of at least 12ft x 12ft (3.6m x 3.6m) for the 360 photobooth
- Plus additional space for VIP barriers, light up numbers, backdrops etc as required
- Access to a mains power socket located within the space designated by the Customer for the Photobooth.
- Access to the venue at least 1 hour prior to the scheduled start time in order to set up (this may need to be longer for specific add-ons such as the sequin backdrop).
- Access to the venue at least 1 hour after the runtime in order to pack away (this may need to be longer for specific add-ons such as the sequin backdrop).
- Collection the following day may be agreed with permission of the venue (see paragraph 13 below).
- A clear path into the venue/event that is free from obstruction
- A contact number for the person booking in the event they not be present when we are setting up in case of queries
4. Data service / WiFi
Our 360 photobooth app requires a mobile data service (3G/4G/5G) to send videos to guests. Whilst we have 2 mobiles on different networks to optimise the chances of obtaining a good signal, there may be occasions where your event is in a poor reception area or signal blackspot. If we cannot achieve a decent signal, we may require access to WiFi with a minimum upload speed of at least 7 Mbps (megabits per second). If we cannot access mobile data or WiFi we will not be able to send videos to the guests, this cannot be considered a failure to provide the booked services and in such cases we will discuss options with the Customer.
5. Parking
We require a designated loading bay/entrance provided by the venue, plus suitable parking within 5 minutes walk of venue/event
6. Amendments/Rescheduling your booking
If you need to change the date/time/location/package for your booking please notify us via email: hello@partybooth360.co.uk
You must specify via email or message which date you would like and we will check to ensure we have availability, however any date must be rescheduled within 1 month of your original date.
We will always try our best to accommodate your request for amendment, however this cannot be guaranteed as it will depend on a number of factors including, but not limited to, our availability and other bookings.
If we are unable to accommodate your request for an amendment and you no longer want to proceed with your booking, please refer to our cancellation policy in clause 8 below.
7. Timings
Setup and pack-down time is not included in the number of hours that you have booked our 360 photobooth service. For example, if you book our 360 photobooth for 2 hours, we would typically load in and set up for around 1 hour, provide the photobooth for 2 hours then pack down which could take another hours, totalling 4 hours.
Where we have been given a time to be set up and also a time to provide our services, this should be limited to one hour difference; any such ‘waiting time’ beyond one hour will be included in the time the service is provided.
8. Cancellation
If you wish to cancel your booking you must notify us via email: hello@partybooth360.co.uk
Please read the points below which outline the refund you will be entitled to:
If you cancel, in all cases without exception you will not be entitled to the £50 non-refundable deposit.
If you cancel more than 14 days before your event booking, you will receive a 50% refund of all amounts paid less the non-refundable deposit.
If you cancel less than 14 days before your event booking, no refund will be provided.
9. Video Capturing, Sharing & Social Media
By using the 360 PhotoBooth, you and your guests are agreeing to their video/photo being captured.
Adults/parents/guardians are responsible for their children at all times, and by your child entering/using the Photobooth we view this as permission being given/granted for them to have their video taken. If an adult/parent/guardian does not want their child’s video to be sent to be shared to the online gallery, used on social media etc, they must make a Partybooth 360 Staff Member aware at the time. They can also contact us after an event via email hello@partybooth360.co.uk if they wish for any video content to be removed.
Any video/photo content captured/taken at your event is available to you and your guests to keep, share and use as you wish.
After a photo/video is captured we share the content via WhatsApp, a QR code, Airdrop (iOS devices), SMS or email.
All photo/video content may be saved to an online gallery. After your event, we will send you the online gallery from your event which will contain all the captured video content.
Partybooth 360 may use any video content captured at your event on social media channels and/or the website. It is your responsibility to make your guests aware that the video content may be used on social media. If you do not want you/your guest’s content to be used, please contact us directly via email to make us aware: hello@partybooth360.co.uk
10. Delays/Late starts
If we are unable to set up and start on time due to your event being delayed or incorrect information has been provided, we will continue with your booking once the issue(s) has been resolved but no further time will be added. To clarify, your booking will still finish at the original end time arranged.
If there are any unforeseen circumstances where the Photobooth 360 Team are late/delayed with setting up and starting your session, we will add any lost time to the end of your booking. Under such circumstances, you will not lose out on any time that you have paid for.
11. Age restrictions
Any children under the age of 10 must be accompanied by an adult on the photobooth at all times. Parents/guardians are solely responsible and liable for their safety.
12. Guests’ behaviour & misuse
Safety of your guests is extremely important to us, therefore access to our photobooth may be restricted under certain circumstances.
Guests are not permitted to use the photobooth if they are heavily intoxicated with alcohol, if any Partybooth 360 Staff Member feels that any guests/customers are too intoxicated it is solely at their discretion to refuse entry to the booth.
Guests are not permitted to use the photo booth under any circumstances if they are under the influence of drugs or any intoxicating substances.
For safety reasons, jumping on or off the booth’s platform whilst it is in operation is strictly prohibited as this can cause injury to personnel and/or damage to the Photobooth.
Likewise, once in motion guests must not grab or touch any moving part of the 360 photobooth as this may cause damage to the device.
Abuse or threatening behaviour towards any of our staff or abuse of our equipment will not be tolerated. If this occurs, we retain the right to terminate our services immediately.
13. Collection & removal of equipment
In most cases where the 360 photobooth has been provided, all equipment will be removed after the end of the agreed provision time (after packing up), however in circumstances where the event is ongoing and access is restricted by guests or otherwise obstructed, we will discuss with relevant parties the option of collecting equipment the following day.
In the event of the sequin backdrop, lighting or other accessories being hired, collection the following day must be available, however in the event that the equipment is not available to collect us the following day, this would be deemed as an extended hiring period and additional fees would apply for equipment that is unavailable to us for further rental. In the event of the sequin backdrop, this requires assembly & disassembly by our staff only, which takes around 45 minutes each time.
14. Damage to equipment
It is your responsibility to pay for any damage or theft caused by you or your guests to the Photobooth and/or our equipment.
Any damages/theft will be documented, and you will be made aware by email of the cost to fix/replace the item(s). An invoice will be sent to you via email with a 14-day payment clause which needs to be settled in full before the stated payment date.
Failure to make full payment of the invoice may result in legal action being taken.
15. Risks/Injury
The Photo Booth is a low-risk item and our Staff will make every effort to ensure you are safe at all times. By using the Photobooth you and your guest do so at your own risk, this waivers the liability from Partybooth 360.
Partybooth 360 will not be liable under any circumstances for any injuries or damage to property caused by any item.
By agreeing to our terms and conditions you are taking full responsibility that you and your guest are using the Photo Booth in a safe manner.
16. Staff
All equipment is to be set up and packed down by the Partybooth 360 Team.
Any enquiries on the day can be directly addressed to the staff who will be able to advise and assist you.
We request that guests/event attendees cooperate with our staff to ensure a safe working environment and they are expected to treat our staff with respect at all times. Any form of behaviour that could compromise their safety or well-being such as harassment, disrespect, aggression, physical acts or threats towards our staff will not be tolerated. We reserve the right to cease services immediately in such circumstances, with no refunds provided. This decision is solely at the discretion of the 360 Staff member(s) operating the event.
The 360 Photo Booth must be operated by a 360 Team member at all times.
17. Agreement
At all times the hired items will remain the property of Partybooth 360 (The Owner). The “items” are a reference to all equipment, lights, props etc. hired from the owner to the hirer.
The Hirer is the person(s) named on the invoice/agreement.
You have shared this information with your guests/relevant persons and they accept the Terms & Conditions
By paying your deposit you are agreeing you have read this document and accept all the outlined terms and conditions in their entirety.
